FREQUENTLY ASKED QUESTIONS

Why is SGS 2020 postponed?
In light of the global emergency of the new coronavirus, COVID-19, the Society of Gynecologic Surgeons 46th Annual Scientific Meeting has been postponed to July 6-9, 2020. The health and safety of meeting attendees and the patients in their care is our utmost concern. In recent weeks, countries and institutions have imposed travel bans that prevent attendance by a significant number of attendees, including meeting faculty and SGS leadership, making it impossible to conduct the meeting at this time.

ANNUAL MEETING REGISTRATION

What if I'm registered for the March 29-April 1 annual meeting and plan to attend on July 6-9?
No action is required. Your registration will automatically be moved to the July 6-9 meeting.

How will we handle registration refund requests?
In response to this unique situation, our leadership is adjusting our policy for this one year only. On March 18 the new dates were posted and you may request a full refund by sending an e-mail within 30 days of March 18 to [email protected].

For this year only SGS policy will be amended to allow refund of registration without the $100 administrative fee. In addition, we will also permit, and encourage, that the 2020 registration fees be applied toward the next annual scientific meeting registration in Palm Springs on March 24 -28, 2021.

If you wish to donate some or all of your registration fee to SGS to defray the costs associated with the rescheduling of the SGS Annual Meeting please let us know the amount you wish to donate.

Are all ancillary events associated with SGS 2020 postponed as well?
All ancillary events, including approved and independent events by exhibitors are postponed. Look for further details in the coming days regarding rescheduling or alternative options.

ANNUAL MEETING HOUSING AND TRAVEL

Individual Hotel Reservation Cancellations. 
All reservations booked inside the SGS Room Block have been cancelled.

I have a hotel reservation for the original March 29-April 1 Annual Meeting and plan to attend the rescheduled meeting.  Will the dates of my reservation be changed automatically?
No. You will need to make your new reservation here.

Will attendees be refunded for airline tickets?
No, we will not refund individual airline ticket costs. Please contact your airline directly regarding ticket cancellations. If you purchased travel insurance, please contact your provider for information and next steps.

I have a reservation for air travel to Jacksonville for the original March 24 – April 1 Annual Meeting. Can I change my reservation and travel to the rescheduled Annual Meeting?
You should contact your carrier directly and follow their guidelines regarding the changing or cancellation of flights. Many airlines are waiving change fees for flights scheduled between March 1, 2020 and April 30, 2020.

I am an invited speaker and I have a reservation for air travel Jacksonville for the original March 24 – April 1 Annual Meeting. Can I change my reservation and travel to the rescheduled Annual Meeting?
You should contact your carrier directly and follow their guidelines regarding the changing or cancellation of flights. Many airlines are waiving change fees for flights scheduled between March 1, 2020 and April 30, 2020.

ANNUAL MEETING PRESENTERS

Presentation Status. 
When the dates of the rescheduled Annual Meeting have been finalized, invited speakers will be contacted by email and asked to confirm their availability to participate in the rescheduled meeting. Proffered abstract presenters will be contacted by email by late March with more information about presentation and withdrawal options.

What happens if I submitted an abstract?
All accepted abstracts are currently electronically published in the March issue of the American Journal of Obstetrics and Gynecology (AJOG).

What happens if I submitted a manuscript to AJOG?
Decisions regarding publication will go out to authors in early April and revisions for papers would be accepted into early May. The current plan is to still make those decisions in April/May and embargo the papers until the print issue which would come out in August.

What happens if I submitted a manuscript to journals other than AJOG
Current SGS policy does not allow publication of manuscripts prior to presentation at the annual scientific meeting. This requirement will be waived in 2020. Manuscripts due to be published after April 1, 2020 can be published this year as an exception to the SGS policy.

ANNUAL MEETING EXHIBITORS

I am currently scheduled to exhibit at the Annual Meeting and plan to exhibit at the rescheduled meeting. What do I need to do?
No action is required. When the dates and location of the rescheduled Annual Meeting have been finalized, your booth rental fees will be transferred to the rescheduled meeting. You will receive an email confirming your rescheduled exhibit details.

What if I cannot exhibit at the postponed meeting?
SGS greatly appreciates the support of our exhibitors and will offer them exhibit space on the SGS 2021 meeting in Palm Springs, CA. Otherwise, in response to this unique situation, SGS leadership is currently assessing its exhibitor refund policy.  SGS is working through this process and appreciates patience during this time.
